Summary:
Serves as the Administrative Assistant for the Operations/Maintenance Department and provides support to the Deputy Superintendent of Operations.

Qualifications:
Three years of related experience position Knowledge of Public School Facility Authority (PSFA) procedures and requirements Knowledge of and experience with accounting principles, including internal controls Knowledge and experience with the New Mexico Procurement Code Knowledge of and experience with project management and vendor relations Better than average recommendations from previous employers and/or other professionals familiar with the applicant's personal characteristics and workplace performance Knowledge of I-visions Essential Duties and
Responsibilities:
Follow local, state and federal law, adhere to the State Public Education Department Regulations and follow Aztec School Board Policy Provide secretarial and accounting functions for the Director of Operations and the Maintenance department Welcome all visitors and handle their requests or refer them to appropriate personnel Follow oral and written directions Assists in hiring qualified employees by participating in the interview process and making recommendations regarding the employment of applicants.
Coordinate and maintain records of annual safety inspections on machinery and equipment used by maintenance workers Attend, participate in monthly meetings Assist other Department personnel as needed Act in the capacity of the SchoolDude Administrator and Technology Support Assist with the district auction process Receive equipment and supplies that arrive at the Warehouse Maintain accurate documentation regarding life safety inspections and repairs Communicate effectively and professionally with students, employers, school staff, vendors, parents and the public Reconciles account balances for assigned budget categories for the purpose of maintaining accurate account balances.
Work with outside vendors to schedule services and request quotes as needed in the district Prepare purchase orders and purchase requisitions Complete required reports in a timely and professional manner Successfully complete all training programs and all continuing education requirements in a timely and professional manner Coordinate the purchase of needed equipment and supplies to ensure smooth operation of the department Maintains the departments electronic Safety Data Sheets (SDS) Assists with training new employees on various department processes and procedures Organizes and guides facilities department staff to complete tasks including inspections, maintenance repairs, electronic documentation, and/or paperwork Maintain good public relations within the school district and community Pick up and circulate mail Communicates with other employees, departments, administrators, applicants and the public for the purpose of providing information and assistance relating to the Department.
Assign work orders to the proper department personnel and track work progress Event planner and department moral builder Input utility bills into the utility program manager after downloading from the internet and track.
Compile pertinent data to prepare various required state and local reports Answer incoming calls, take messages, and route them to appropriate staff.
Answer incoming calls and handle questions and requests that fall within level of responsibility Compile and report leave requests and absentee reports Order office supplies for department Successfully advances department and district initiatives Handle additional duties as assigned Working Conditions:

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
